Receipt, quantity and quality control of goods.
Receipt of goods
Acceptance is the act whereby the recipient of the goods takes possession of them when they are delivered by the supplier or a designated third party (carrier). It is carried out by a receiver. In all cases, the goods are handed over by the carrier and the receiving customer signs a delivery note. As a general rule, this signifies the transfer of ownership and triggers payment of the commercial invoice in accordance with the purchase agreement signed with the supplier.

When goods are received, the recipient is faced with two responsible parties:
The carrier, who is responsible for any damage or shortages that occur during transport, provided that these are noted when the goods arrive and in the presence of the driver;
  • The supplier who is responsible for the quality and quantity of the products delivered in relation to the order.

The recipient is obliged to check the conformity of the goods delivered at the time of delivery before signing the delivery note. Any anomaly concerning the delivery (damage, missing product compared to the delivery note, damaged package, etc.) must be indicated on the delivery note, accompanied by the signature of the controller.

The inspector must make written, precise and reasoned reservations on arrival on the delivery documents (consignment note/delivery slip, etc.) and in the presence of the driver (general formulas such as "unless checked later" or "subject to unpacking" have no legal value).

After checking, the receiver takes delivery and registers the various goods. His overall job can be summed up as follows:
  • Supervising the unloading of goods from lorries or other means of transport;
  • Unloading containers, opening crates and palletised packages;
  • Operating forklift trucks, hand trucks and other materials handling equipment used for unloading and storing goods , where this is within the scope of his or her responsibilities .
  • Supervise the storage of goods in receiving areas;
  • Unpack goods and transport them to the appropriate storage areas;
  • Checking delivery documents to ensure that what is written on them corresponds to the goods received, noting missing quantities, checking the condition of goods and rejecting damaged goods;
  • Make any reservations on the documents;
The customer must confirm any anomaly by sending the carrier or the supplier, depending on the commitment of each, an email, fax or registered letter with acknowledgement of receipt setting out all the complaints. The carrier's details must appear on the delivery note. These complaints must be sent 24 hours after delivery and within two days of delivery
Checking goods before they go into storage
The inspection consists of checking that the items received comply with the specifications set out in the purchase requisition. It applies to the packaging and its contents. Generally speaking, items are checked both qualitatively and quantitatively
A- Quantitative control
Quantitative checks are carried out when quantities are counted
B- Qualitative control
Qualitative control is an assessment of the quality of the item received. In other words, its ability to satisfy the needs of its user. We must ensure that the item is compatible with the user's needs.
  • Packaging : taking into account its function, the packaging of an item makes it easier to use and handle (the logistical role of packaging) and more resistant to certain working conditions. It is therefore essential to check that the packaging is suitable;
